A real Atlas Red map · the worked example below

A timeline, not a pile. Tasks hang under the month they are due. You see what comes next at a glance.

Status, dates, costs. Each task has a status: to do, booked, paid or done. Add the due date, the cost and who to call.

Print it or share it. Export a PDF for the fridge. Send your partner a read-only link to the map.

How to plan a wedding with a checklist, step by step

Most wedding checklists work backwards from the date. The big bookings come first. The small jobs bunch up in the last month. A map keeps both in view.

  1. Fix the date and the budget. Put the date in the map's title. Write the total budget under Budget. Every cost you add is measured against it.
  2. Book the venue first. The venue sets the date, the guest limit and often the caterer. Book it before you book anyone else.
  3. Book the vendors who fill up. Photographers, caterers and bands take only one wedding a day. Book them six to nine months out, or sooner in peak season.
  4. Add every task under its month. Give each task a due date. Move a task to another month by dragging it. Add your own tasks as they come up.
  5. Log every cost and contact. When you book, set the status to booked and write the cost. Add the vendor's name and number. When you pay, mark it paid.
  6. Clear the last month. Send the final guest count. Do the seating plan. Confirm every vendor in wedding week. Then mark it done.

Worked example: Ana and Tom, May 2027

A fictional couple. Ana and Tom marry on 22 May 2027 with 90 guests. Their budget is 18,000. The venue and the photographer are booked. The last month is still to do. This is the map shown above.

Read the Budget branch. 14,220 of 18,000 is spoken for, and the rings and invitations are still to come. That leaves 2,500 for flowers, music and the cake. Ana and Tom know that before they call a florist.

Questions people ask

What should be on a wedding planning checklist?

Start with the big bookings: venue, caterer, photographer, music and officiant. Then the paper: save-the-dates and invitations. Then clothes, rings and the license. The last month holds the guest count, the seating plan and vendor calls. Check your local rules for the marriage license. They differ by place.

When should we start our wedding checklist?

Twelve months out is common. Book the venue first, since it fixes the date. Book the vendors who take one wedding a day next. With less time, do the same tasks in the same order, closer together.

Can I print this wedding planning checklist template?

Yes. Export the map as a PDF and print it. You can also print the outline as a list, with every field next to its task. PNG and JPEG images work too, if you want it on your phone.

Is this wedding planning checklist template free?

Yes. It comes with Atlas Red's Free edition. You get up to 10 maps, kept with no end date, and every export. No credit card. Pro is one payment of $99 for unlimited maps.

Can I export my wedding checklist to Word or Excel?

There is no Word or Excel file. Every edition exports PDF, PNG, JPEG, SVG, slides, a web page, Markdown, OPML and plain text. Markdown pastes into Word or Google Docs. Each field comes along as a "Label: value" line.

Can my partner and I plan together?

One of you edits the map. Send the other a read-only share link, so you both see the same plan. You can revoke the link at any time. If you both want to edit, take turns, or split the map in two.

Can ChatGPT or Claude make our wedding checklist?

They can draft one. Connect Atlas Red to ChatGPT or Claude. Give it your date, guest count and budget. It builds the checklist from this template in your account. Then you add your real vendors and prices.

A wedding planner template, a spreadsheet or a map: which is better?

A spreadsheet is good at sums. A printed wedding checklist is good on the fridge. A map shows the whole timeline at once, and each task keeps its date, cost and contact. You can still print it as a PDF.
